To approve, sign and adopt the minutes of the Assets & Facilities Sub-Committee meeting held on 28th October 2024

Minutes:

Members considered the minutes of the Assets & Facilities Sub-Committee meeting held on 23rd October 2024.

 

Resolved that the minutes of the Assets & Facilities Sub-Committee meeting held on 23rd October 2024 be approved and signed as a correct and accurate record of the meeting.

Town Toilets (verbal report)

The P&FM and TC to give a verbal update on the tendering for the town toilets

 

Minutes:

P&FM explained that they are encouraging everyone to report any damage or graffiti that it needs to be crimed with the Police ASAP so they can get it looked into straight away. We are currently a few weeks into the Tender. The tender allows people to ask questions, and then we publish the questions with the answer onto the tender website so then it is public for everyone to see. The website will be closed for tender submissions as of 12:00 on the 9th December 2024.

The Clerk will be asking the police for a report of where the reports have been coming from regarding damage to the toilets to ensure that Teignbridge District Council have been reporting any criminal damage to them.

Community Units (verbal report)

The P&FM and TC to give a verbal update on the progress of the planning application

 

Minutes:

The planning permission is still waiting for it to be approved by Teignbridge District Council. We need to give them clarification that the commercial storage units are going to be used, this is so then they can be rented out to members of the public to help keep the costs low for the community groups that will be renting the units.

Cllr Atkins has recommended to set up a meeting with the elected planning officer that is dealing with the planning permission of the community units to go through everything and try and get this sorted.

Replacement of garages and workshop (verbal report)

The P&FM and TC to give a verbal update on the planning for the new workshop

Teignmouth in Bloom

To receive any update from the Teignmouth in Bloom working group and deal with any issues / questions (if any)

Minutes:

Cllr Lloyd explained that there are currently a few things in the pipeline regarding Teignmouth in Bloom, but waiting on setting up a meeting with the working group to ensure what can be done and then give an update to the next Assets and Facilities Committee.

Christmas lights switch on working group

To receive and approve the minutes and actions therein of the Christmas lights switch on working group of 28th October.

No update was discussed as the lead of the working group was not present

Utilities Update (verbal report)

The P&FM to give a verbal update if anything to report

Minutes:

P&FM explained that we have switched over two of our gas contracts for 3 years. This is timely as prices are likely to increase in the new year

Other Works

Minutes:

Damage wall Bitton Park Middle car park:
P&FM explained that we have received an email from the gentleman who caused the damage to the wall. This has been reported to the police. It has been fixed.

Replacement of water main:
P&FM explained that we are working on getting it replaced but are currently waiting on South West Water give us a date to complete the work

New Items

Minutes:

Waiting on quotes for the redecoration of the Orangery. Once the quotes have been circulated around to the Councillors, it will then be brought to the Assets and Facilities committee to be discussed.

Exclusion of Press and Public

Members are recommended to approve the following resolution:

 

“that in accordance with the Public Bodies (Admission to Meetings) Act 1960, the Press and Public be excluded from the meeting for the duration of the following items, on the basis that the information to be disclosed would be prejudicial to the public interest by reason of the confidential nature of the business to be transacted.”
